BAT HONG KONG IS LOOKING FOR A GTR Administration

SENIORITY LEVEL: Experienced Non-Management Level

FUNCTION: Marketing

LOCATION: Wan Chai, Hong Kong

 

 

ROLE POSITIONING AND OBJECTIVES

The role is responsible for support all teams on administrative works, ensure all the teamwork and activity going smoothly.

Reports to: Customer Group Manager

Reporting Level: Individual Contributor

Geographic Scope: Local

 

 

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Report to the Customer Group Manager (Greater China Area) and provide administrative supports to the team including the business travels, expenses reimbursement, meetings and new joiner arrangements.
  • Support team members in T&E planning and tracker for better budgetary controls.
  • Ensure team members follow standard code of practices in travelling and expense claims.
  • Coordinate on the customer business meeting and multi-level engagement arrangement; Monitor team follow and align with company policies, procedures and internal controls.
  • Consolidate relevant market information reports for team’s review, such as market updates, cycle plans, customer business meeting schedule and minutes.
  • Assist Account Manager in SAP issues including PO creation/reversal, vendor maintenance, invoice payment etc; Update the relevant market intelligence include pricing, OOS, promotion, photos etc.
  • To consolidate visual requests and prepare the agency briefs.
  • Manage good working relationship with various stakeholders.

 

 

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Proficient in English, Mandarin and Cantonese.
  • Proficient in Microsoft office software
  • Strong filing, paper and organization management skills.
  • Good verbal & written communication skills to interact with internal stakeholders and external customers.
  • Resource and time management skills to ensure team work well allocated, prioritized and planned.
  • Detailed oriented to ensure accurate administration and communication.
