BAT SOUTH AFRICA IS LOOKING FOR AN ADMINISTRATION ASSISTANT

SENIORITY LEVEL: Non-management

FUNCTION: HUMAN RESSOURCES

REPORTS TO: HR BUSINESS PARTNER

LOCATION: CAPE TOWN

 

ROLE POSITIONING AND OBJECTIVES

The emphasis of this role is on assisting the HR Business Partner, by providing an efficient and effective administration & coordination support, thereby ensuring that the HRBP can offer full business partnering service to functional leadership teams and staff

 

WHAT YOU WILL BE ACCOUNTABLE FOR

  1. HR Reporting

a. Prepare relevant HR reports to enable HRBP to provide accurate people related insights to the relevant leadership teams.

b. Prepare monthly people related reports as appropriate (Headcount, PTSD, disciplinary investigations) reporting, Ensure Standards of Business Conduct, Policy documentation & updates are signed and submitted to GBS HR.

c. Follow through all outstanding items on Recruitment Tracker with relevant HRBP/LM/GBS.

 

  1. Recruitment & Selection

a. Co-ordinate logistics of interview venues/telecons

b. Arrange psychometrics assessments where applicable

c. Co-ordinate onboarding documentation

d. Support LM in ensuring New Hire logistics 100% OTIF

 

  1. Employee Administration & Case Management

 

a. Dedicated follow through on all SuccessFactors EE/LM actions through regular training/coaching/reporting

b. Feedback and follow through with various EA stakeholders to ensure 100% resolution of EA related actions.

c. Ensure all technology/logistics in place for all stakeholder groups to access EC

d. Update Org Structure, certain terminations, delimit vacant positions not needed, update cost center information on SF

 

  1. Learning & Development

 

a. Gather and consolidate all training & development related needs and reporting for function

b. Validate all training & development related costs as required and conduct L&D cost analysis (e.g. L&D ROI; L&D IPE; etc.)

c. Support procurement and logistics of all training related initiatives as directed by the HRBP (e.g. venue hire; facilitator logistics; training materials; catering; etc.)

d. Liaise with Talent Manager on all outstanding study support enquiries to close out feedback to employees OTIF

 

5.   Benefits Administration

a. Ensure all employees are aware off and upskilled on all employee benefits programs;

b. Liaise with benefit funds on behalf of employees as required from time to time;

c. Provide administrative support as required on benefit enrolments/withdrawals.

 

  1. HR Projects

 

Provide administrative and coordination support to HRBP as required during preparation and implementation phase of various HR projects;

 

  1. Performance Management

 

a. Support HRBP with relevant training materials and HRIS to imbed company PM approach

b. Bi-Annual data validation of PO and Ratings in preparation for Performance Calibration

c. Support HRBP/LM with necessary Poor Performance materials/documentation

 

  1. Employee Relations

 

a. Coordinate and prepare all training materials for HRBP to deliver ER upskilling to LM

b. Prepare all relevant documentation as required related to enquiries/misconduct/poor performance

c. Consolidate functional employee engagement plans and track implementation of actions

 

9.  HR Talent Cycle

 

a. Provide HRBP with all materials required to effectively run TRM

b. Validate TRM data and update records as appropriate in SF

c. Arrange logistics (venue ; participants ; etc.)

d. Minute take TRM and keep all information confidential

 

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

 

Knowledge/Qualifications

• Relevant 3-year qualification (diploma/degree)

• Good understanding of HR Practices

• Good understanding of relevant labour legislation

• Administrative excellence & attention to detail

• 3+ years relevant experience
