ROLE POSITIONING AND OBJECTIVES

This role is part of the Global Procurement, delivering commercial expertise across all areas of the BAT IDT function.

Responsible for the execution of global category:

  • Source e2e management (sourcing plan, tender, negotiate and contract)
  • Process execution
  • Contract execution
  • Spend and compliance reporting
  • Commercial risk management
  • Contract Management

To manage relationships with key IDT vendors, the execution of contracts and vendor management processes and standards in order to optimize the performance of strategic partners against the contracted services and drive integration and innovation to deliver tangible business benefit.

Role Complexities:

The role intends to offer a ‘one stop shop’ for BAT’s IDT Function to interface with for all commercial activity.  At present BAT is embarking on mass transformation with digital technologies being the future and key enabler to delivering a better business for tomorrow. IDT Procurement is expected to help build the category strategies on which vendors to partner with, using market analysis of suppliers’ capabilities and alignment to the BAT strategy.

WHAT YOU WILL BE ACCOUNTABLE FOR

Business Partnering

  • To be responsible for leading execution of category strategies and ensure appropriate governance. Responsible for contributing to the category savings targets globally and across all regions.
  • Apply global policies, standards and platforms including the agreed strategic sourcing process to deliver robust terms and conditions that manages Procurement’s service delivery and commercial risk.
  • Lead global and geographic contract negotiations, supplier management and drive geographic continuous improvement initiatives with suppliers. Continuously assess the global and regional market environment, supply base and identify major industry trends and threats. To use this knowledge to define the optimum category strategy for BAT.
  • To act as a subject matter expert for the category and to maintain and develop this knowledge. Support and drive initiatives for the defined key suppliers of the category
  • To help track, review and report on the category performance, plan implementation and use relevant information to determine opportunities for further improvement to category strategy definition and target setting.
  • This role is responsible for supply market management and value engineering defined through the category strategies, vendor management and sourcing plans. To manage long-term ‘Value Management Relationships’ with the global suppliers. To define and initiate complexity reduction initiatives and standardisation programmes through involvement of all regions.
  • To manage the risk to BAT through robust category strategies, sourcing & vendor management and by ensuring adherence to corporate compliance, platforms and policy (for example adherence to SBoC and ABAC standards).
  • Assist the supplier custodian and contract owner in the resolution of escalated supplier issues and ensure appropriate supplier management and performance metrics have been agreed. If required, lead disputes with suppliers and secure appropriate outcomes.
  • Determine the scope, scale and impact of any new products or services required. Assess the supply market for these requirements and reflect this in the category strategy and targets. Ensure any supplier or supply market innovations that are relevant to the business are communicated and reflected through changed business requirements.
  • Provide strategic view of vendor contract and spends to senior management team in IDT functions supporting digital transformation agenda.
  • Responsible for providing analysis of supplier proposals ensuring it is reflected into the business case.
  • Provide review and advice on supplier content of project briefs and Project Definition Documents (PDD). 
  • Perform stage gate reviews during project life-cycle and take accountability for go/no go decisions or concessions against stage gates for vendor management
  • Understand the portfolio of demand for pipeline projects and services with suppliers in line with agreed strategies and provide business challenge in the case of conflict.
  • Develop vendor management support models (strategic, operational, project) that align with business requirements.
  • Facilitate, review and evaluate the execution of IDT strategies / and plans against current supplier portfolio.
  • Identify synergies and commonalities across projects/functions of suppliers in use.
  • Develop relevant processes and standards/ drive adoption and adherence to agreed processes and standards to support execution of business strategy.
  • Design, implement and manage all integrated vendor management governance across the IDT function.
  • Drive and manage integrated supplier activity at a senior level.
  • Lead contract and commercial risk and issue management.
  • Provide contract interpretation and advice.
  • Perform contract change management and contract drafting/review/negotiation and approvals for contracts within delegated authority.
  • Review IDT costs against budgets; evaluating financial reports and addressing potential problems.
  • Manage and drive continuous improvement with suppliers as part of defined KPI metrics.
  • Provide IDT leadership and senior management with information and decision support - collate required data and produce reports and insights to facilitate decision making.
  • Assist with prioritisation and scheduling of supplier contracts/engagements/innovation.
  • Accountable for third party outsourced controls for SOX purposes.
  • Drive planning and decision-making processes in line with organisational time lines.
  • Support supplier technology strategy and drive value through co-ordinating vendor innovation and
  • Set-up and manage material and governance bodies for decisions on RFI/FRP negotiating points.
  • Support all contract drafting including change management, and support obtaining of contract approvals within delegated authority.
  • Ensure contracts are completed for all relevant agreements and that Service Level Agreements (SLAs) have been agreed with the relevant business owner.
  • Manage and resolve contractual performance issues. Lead contract risks, issue management, dispute resolution and escalate where required.
  • Perform contract change management drafting/review/negotiation and approvals for contracts within delegated authority.
  • Review IT costs against budgets; evaluating financial reports and addressing potential problems.
  • Manage and drive continuous improvement with suppliers as part of defined KPI metrics;
  • Assist with prioritisation and scheduling of supplier contracts/engagements/innovation.
  • Drive planning and decision-making processes in line with organisational time lines
  • Support supplier technology strategy and drive value through co-ordinating vendor innovation and leading the management of this against plan in governance

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Degree educated in law or business or qualifications in procurement e.g. CIPS.
  • 6+ years post graduate work experience including pre and post execution management of complex high risk, high value supplier contracts and multi-vendor environments.
  • Experienced in supplier management processes and standards, including management of third-party suppliers and contract negotiation/issue/dispute resolution.
  • Experienced in project management, both waterfall and agile methodologies desirable.
  • Experience in large global organisation using in-sourced and out-sourced IDT services models including cloud technology and a good working knowledge of the management of global IDT Services.
  • Understanding of SOX and third party outsourced controls desirable.
  • Experienced in the core aspects of commercial and contract management. Strong commercial negotiator, able to negotiate contract changes, draft contracts, influence and deliver changes in working practices and to analyse and manage supplier cost implications.
  • High level of commercial awareness.
  • Strong interpersonal and communication skills.

  • Ability to develop and maintain effective partnerships working across geographic boundaries.

  • Detailed knowledge of the IDT category based on 3+ years’ experience, including market place, key drivers and levers, supply base and balance of power.
  • Thorough knowledge of supply market, supplier capabilities and competitor activity and trends.
  • Detailed understanding of financial evaluation and interpretation of supplier’s records and their key cost and business drivers.
  • Full understanding of the category cost drivers and of the factors needed to ensure a robust outcome for BAT (including specification and testing requirements).
  • Professional knowledge of procurement principals and approach including category, sourcing and vendor management.
  • Experience in managing complex, high risk projects and programmes to improve performance and deliver service.
  • Sound knowledge of corporate regulations and legislation to ensure the creation of effective and binding group contracts.
