BAT BANGLADESHIS LOOKING FOR AN EXECUTIVE ASSISTANT – EXEC & CORPORATE SERVICES

SENIORITY LEVEL: Entry Level

FUNCTION: General

SALARY RANGE: Competitive salary + excellent benefits + market leading bonus

LOCATION: Dhaka, Bangladesh

Reports to: Area Director, APMEA Central & GM Bangladesh

ROLE POSITIONING & OBJECTIVES

This role ensures efficient administration of the executive and corporate function, aligning with global standards while meeting local requirements. It involves supporting the GM with day-to-day tasks such as managing the GM’s calendar, acting as a liaison between the GM and stakeholders, monitor management policies and the GM’s budget, organize and support events, conferences, company functions and global visits along with serving as a point of contact for internal and external stakeholders.

WHAT YOU WILL BE ACCOUNTABLE FOR

BUSINESS MANAGEMENT:

  1. On time support to GM for administrative tasks:
  • Execution of management events (birthdays, farewells, corporate team engagement activities, corporate events occasionally, global visit management etc.).
  • Maintaining important mail loop to be on track with internal and external stakeholders.
  • GM’s calendar management, medical claims management, and corporate credit card bill settlement.
  • GM and Leadership team’s travel plan and arrangements.
  • Pool car management support to the Leadership team and RSU visitors or any global visitors
  • Stationery and pantry management; managing teaboys and messengers in HR floor who are delegated for GM.

  1. Financial Coordination – Budget Management and Vendor Payments (Both Local & Foreign):
  • Manage the GM Budget and update it monthly within the given budget.
  • Update the finance team on savings from the given budget and make provisions for pending GRs.
  • Track all internal affairs that is to be recharged; keep track bills and ensure payment within the given timeline.
  • Manage the corporate card as per company policy.
  • Settlement of bills as per company policy.

  1. Vendor Enlistment, Agreements (Icertis), AFC:
  • Document collection from vendors to ensure compliance in the system.
  • Ensure compliance with the agreement and AFC for vendor enlistment.
  • Tendering for vendor enlistment and enlist new vendors for business requirements.
  • Raise Service Requisition Form and support execution of agreements.
  • Clear all backlog and escalate system issues on time if there are any.

  1. Support the GM for Local & International Travel
  • Support GM for Local Travel [Budget Approval, Traveler’s profile update/ Approvals / Purchase Order / Ticket Booking.
  • Arrange VISA for International Travel
  • Ensure compliance with Ticket Booking as per policy.
  • Arrange FOREX for the traveller and settle the bills upon return. (if needed)
  • Accommodation for Local and International travel and settle the bills accordingly.

  1. Vendor Management:
  • Ensure that vendor enlistment is conducted as per requirements mentioned in the policy.
  • Assess the risk of the vendor prior to vendor enlistment.
  • Sort issues of vendors related to the service they will be providing.
  • Raise the purchase order and goods received as per company policy.

PEOPLE & PROCESS MANAGEMENT:

  1. Collaboration with internal and external stakeholders:
  • To have a successful collaboration with procurement, finance, legal, and all the EAs of the Leadership Team to complete business responsibilities.
  • Develop a working relationship with vendors to ensure proper supply of goods and services as per business requirements.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Bachelor's degree in any discipline is required, with preference given to candidates with experience in administrative work.
  • Active involvement in ECAs showing strong management abilities.
  • Possess strong technical and interpersonal skills.
  • An ability to work with all levels within the organization and managing various groups of stakeholders.
  • Good communications skills with ability to build credibility and reliability among peers.
  • Ability to establish priorities of key deliverables.
