British American Tobacco Hungaryhas an exciting opportunity for an Office & Facility Coordinator in Budapest.

Your key responsibilities will include:

  • Office Infrastructure Coordination and Development
    Responsible for the maintenance and continuous improvement of the office’s physical environment, including the planning, execution, and optimization of maintenance processes.
  • Asset and Equipment Management
    Procurement, inventory management, and lifecycle tracking of office furniture, technical equipment, and other assets.
  • Coordination with External Service Providers and Vendors
    Close cooperation with cleaning, maintenance, IT, and security service providers. Management of contracts, monitoring service levels, and performance evaluation.
  • Support of Administrative and Financial Processes
    Handling and documentation of invoices, confirmations, and contracts. Supporting budget planning, preparing cost-optimization proposals, and creating management-level reports.
  • Continuous Improvement of the Office Environment
    Development of an ergonomic, safe, and sustainable working environment, supporting energy efficiency and environmental protection objectives.
  • Organization of Executive Visits
    Logistical and technical preparation of management visits and hosting senior executives.
  • Reimbursement of Executive Travel Expenses
    Administrative support for the Country Manager’s and senior management team’s travel arrangements, including expense tracking and documentation.
  • Executive Calendar Management
    Comprehensive management of the senior executive’s calendar, including meeting coordination, prioritization, scheduling, and alignment with internal and external stakeholders.

What are we looking for?

  • University degree with 1–3 years of relevant professional experience in office administration, facility management or HR
  • Confident English and Hungarian language skills, both spoken and written (intermediate / B2 level)
  • Category B driving license and willingness to use a company pool car when required
  • Advanced computer skills, particularly in MS Office applications
  • High level of accuracy and attention to detail, especially in administrative and documentation tasks
  • Proactive approach with an upbeat and self-motivated work attitude  
  • Confidence in understanding budgetary and financial principles
  • Excellent communication and interpersonal skills, with both internal and external stakeholders
  • Strong team-player attitude, capable of building trust and working effectively with other departments
  • Discretion and reliability, handling sensitive information responsibly and confidentially
