WE ARE LOOKING FOR AN ADMINISTRATIVE COORDINATOR – TRADE MARKETING
SENIORITY LEVEL: Experienced Non-Management Level

ROLE SUMMARY
The Administrative Coordinator role will provide general administrative support to the Trade Marketing department and provide direct support to the Trade Marketing Leadership Team.
To effectively execute the job responsibilities, the Administrative Coordinator should demonstrate proficiency in all administrative functions. They should be proficient in all departmental office technology, as well as maintain knowledge of various programs and projects specific to the Trade Marketing team.
The Administrative Coordinator position requires strong organizational skills, a heightened sensitivity to deadlines, proactive approaches to problem solving and decision-making within scope. This position requires a high degree of professionalism. The position requires the ability to function as an individual contributor in a team environment, and to effectively manage competing priorities in order to accomplish a variety of goals.
ACCOUNTABILITIES
Provide general administrative support to the Trade Marketing department, including:
- Management of Marketing interoffice mail process and office supplies
- Provisioning for new Marketing employees
- Coordinating logistics for Marketing departmental meetings
- Coordinating with technicians for copy machine support
- Process coordinator for general Marketing processes
- Act as the point of contact for internal and external clients
- Coordinate with executive and senior administrative assistants to handle requests from executive management
Direct support for the designated Trade Marketing brand teams and Trade Marketing executives on various tasks and projects, including but not limited to:
- Coordinating travel as requested
- Coordinating scheduling and calendar management support as requested
- Coordinating expense management as requested
- Coordination of presentation materials, including assisting in preparing PowerPoint presentations and standard reports as assigned
- Assistants in preparing draft reports, memoranda, briefs and correspondence
- Supports coordination of departmental employee engagement initiatives, including compiling agendas, presenter confirmation and departmental notifications
ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
Experience Required
- Proven work experience as a Senior Executive Assistant, an Executive Assistant or similar role
- Experience exercising discretion and confidentiality with sensitive company information
- Robust and in-depth understanding of office management and daily operations for a global organization
Technical / Functional / Leadership Skills Required
- Proficient in interfacing with senior-level executives in a global organization
- Outstanding proficiency in Microsoft applications (Word, PowerPoint, Excel and Outlook).
- Proficient in computer skills including basic presentation development.
- SharePoint administration experience a plus.
- Project management experience a plus.
- Excellent organizational skills with the ability to quickly adapt to changing priorities and ability to manage multi-task assignments.
- Excellent oral and written communication skills.
- Strong problem analysis and problem-solving skills.
Education / Qualifications / Certifications Required
- High School diploma required; associate or bachelor’s degree preferred.
