British American Tobacco Romania has an exciting opportunity for a Car Fleet Specialist in Bucharest.
The objective of this role is to support Car Fleet Manager with procurement, maintenance, and disposal of vehicles, ensuring compliance with regulations, managing budgets, negotiating leases, coordinating with vendors, and overseeing the day-to-day operations of the fleet. They might also analyse data to optimize the fleet's efficiency and cost-effectiveness.
Reports to:Car Fleet Manager
Core Relationships: Internal (Procurement, TMD, SSC, all employees), External (Lease companies, IB car fleet team, Car services, Insurance companies, Local authorities).
Your key responsibilities will include:
- Ensure that all company vehicles are properly maintained; policies and procedures for car users are used and applied
- Keep accurate records for all company cars fuel consumption and other expenses in the car fleet database. Monthly monitor car fleet costs and propose measures where needed.
- Develop, up-date and monitor the cars repair schedule. Maintain a good relationship with the Car Service Company, ensuring that the repair schedule is respected within the agreed time frame.
- Provide support in the preparation of the budget for the car repairs costs and for fuel costs and ensure proper, monthly monitoring of the expenses made versus the agreed budgets, per individual car.
- Ensure that the lease company perform all the tasks related to the registration of the car fleet with the Police Authorities, Fiscal Administration.
- Oversee the entire lifecycle of the vehicle fleet, including procurement, maintenance, and disposal, ensuring optimal performance and cost efficiency.
- Ensure all vehicles meet legal and regulatory standards, including licensing, inspections, emissions, and safety requirements.
- Prepare data analytics to assess fleet performance and support Car Fleet Manager to identify trends, and generate reports for senior management, making informed recommendations for improvements.
- Collaborate with various departments and stakeholders, including finance, operations, and HR, to ensure alignment of fleet management strategies with overall company objectives.
What are we looking for?
Technical / Functional / Leadership Skills Required
- Experience in car fleet administration for min 2 years.
- Understanding of different vehicle types, models, and their specifications to make informed procurement decisions and maintenance plans.
- Proficiency in using software for tracking vehicle maintenance schedules, fuel usage, and managing the overall fleet.
- Familiarity with local and national regulations regarding vehicle safety, emissions, licensing, and other legal requirements.
- Ability to analyze fleet data, such as fuel consumption, maintenance costs, and utilization rates, to make data-driven decisions.
- Capacity to troubleshoot vehicle-related issues efficiently and implement effective solutions, minimizing downtime and costs.
- Excellent communication skills to interact with various stakeholders, including vendors, internal departments, and senior management.
Education / Qualifications / Certifications Required
- University degree
- Proficiency in Romanian & English
- Good computer skills (Excel, Word)
- Very good organizational skills
- Valid driver's license
