We are seeking a highly skilled and professional Executive Assistant to support the Area Director. This multifaceted role requires an individual who can provide executive-level assistance, handle daily operations efficiently, and represent BAT South in a professional and positive manner to internal and external stakeholders.

What You Will Be Accountable For:

  • Diary & Email Management: Efficiently manage the Area Director’s schedule, coordinate meetings, and ensure seamless communication.
  • Meeting & Event Coordination: Organize internal and external meetings, events, and functions, ensuring all logistics and materials are in place.
  • Travel Arrangements: Oversee and coordinate travel plans, including accommodations and itineraries.
  • Expense & Budget Management: Process expenses, track budgets, and handle financial documentation.
  • Communication & Correspondence: Draft, compile, and distribute communications on behalf of the Area Director.
  • Administrative Support: Handle purchase orders, invoices, general administrative tasks, and provide personal support to the Area Director.
  • Stakeholder Engagement: Act as the liaison between internal teams and external clients, suppliers, and government or industry contacts.
  • Executive Team Support: Coordinate executive team meetings and provide backup support to other Administration Coordinators.
  • Project Work: Assist with ad-hoc projects as required.

Essential Experience, Skills, and Knowledge:

  • Proven experience in executive assistance, preferably supporting senior leaders in a multinational organization.
  • Advanced Microsoft Office skills (Excel, PowerPoint, Word, Outlook).
  • Strong organizational skills with the ability to anticipate needs and manage multiple tasks efficiently.
  • Excellent verbal and written communication skills, with a high level of discretion and professionalism.
  • Ability to prioritize, manage time effectively, and work under pressure.
  • Strong problem-solving skills and a proactive approach.
