Logistics Manager

  1. Principle Accountabilities
    1. Responsibilities: 
      1. Import

Import Documentation & Compliance

  • Manage, review, and verify all import documentation to ensure compliance with customs regulations, banking requirements, and company procedures.
  • Coordinate the preparation and availability of required import documents before shipment arrival to ensure timely customs clearance and avoid demurrage, detention, and penalty charges.
  • Maintain accurate records of import documents, shipment files, and compliance requirements.

Payment & Financial Coordination

  • Coordinate and monitor international payment processes with suppliers and financial institutions, including Letter of Credit (LC), Documentary Remittance, and bank transfers (TT).
  • Manage payment follow-up for offshore suppliers and local customs forwarders in coordination with the Finance Department to ensure timely settlement of obligations.
  • Support finance planning and budgeting activities by providing accurate forecasts of upcoming import-related payments, including supplier payments, freight costs, customs duties, and other related expenses.
      1. Business
  • Planning, control and store of delivery and distribution of Finished Goods by managing the best combination of transportation and Stock Levels at FG Warehouse/Raw Materials and Customer Warehouse in order to guarantee demand coming from sales branches is prioritized and fulfilled on time and in compliance to legal requirements.
  • Control, follow up and approval of all required documentation related with the process of Finished Good Distribution in order to guarantee that legal requirements are met
  • Coordinate all Returns logistics related to finished goods, as well as the required steps for the final disposal of those, while actively support initiatives that may enlarge the benefits perceived by increasing the Returns Logistics.
  • Planning and control operations at the Finished Goods Warehouse, regarding product receipt form factory.
  • Distribution in order to guarantee Product Integrity and Traceability
  • Implement and follow up procedures in order to comply with BAT EH&S standards along the whole logistics operating in order to provide our employees with a safe environment.
  • Drive all activities needed to deliver KPIs, Service Level & Stock holding targets for the products that are in scope of BATs CMA Agreement with external entities.

      1. Leadership:
  • Provide the Logistics department with direction and priorities ensuring “line of sight” with BAT strategies at all times.
  • Lead, motivate and develop the Logistics Team to drive the organisational agenda.
  • Develop a high-performance culture in the Logistics department by coaching and training staff effectively   to achieve the full potential of the team
  • Manage/develop skill levels for development and succession planning and prospects.

      1. Management:
  • Maintain an effective control environment in the SC function and related areas both internal and external ensuring BAT best practise is applied in all business dealings.
  • Attend to Local SC & SNO DDS Drumbeats and ensure correct and timely information flow across stakeholder and drive actions OTIF. Actively participate in IWS`s continuous improvement journey and deliver actions for Phase readiness in line with SN Pillar requirements.

      1. Relationship:
  • Develop and manage close working relationships with end markets/Other stakeholders/OLTs to create a better understanding about BAT Algeria factory
      1. Innovation:
  • Seek for new and best alternatives for OTIF transportation & Optimized Warehousing
  • Capture all innovative ideas for improvement and ensure that accepted ideas are implemented.
  • As the distribution network is increasing its complexity, the biggest challenge will be to continually review established processes, systems and procedures to comply with all customer needs in the most efficient manner.

      1. Sustainability:
  • Define An improved reporting system not only for hazards or events but also near misses
  • Keep A document management process for regulatory reporting as well as a repository for historical data that is easy to access from any time, any where
  • Assign roles and responsibilities, monitor the workflow and provide full visibility as the process moves through verification of effectiveness
  • Cooperate with the employer in organizing safe and harmless working conditions; personally take feasible measures to eliminate any industrial situation that is dangerous to his life or health, or to the people around him, or to the production environment or environment; immediately report such a dangerous situation, cases of industrial injuries to their immediate supervisor or employees of the Labor Protection Department of company.
  • In order to ensure the creation of safe and harmless working conditions of subordinate employees and the effective functioning of the labor protection system in the subordinate unit, it is obliged to:
    • before the beginning of the performance of their duties to undergo training and testing of knowledge on occupational safety.
    • monitor the serviceability and safe operation of equipment, equipment, vehicles and other means of production used by subordinate employees.
    • timely conduct training, knowledge testing, briefings, internships and training of subordinate workers on labor protection issues (including the requirements of B.A.T. Environmental, Health & Safety Policy), fire safety; safe operation of equipment, equipment and other means of production; occupational health and industrial sanitation; environmental protection, provision of pre-hospital care.
    • monitor compliance by subordinate employees with the requirements of safety rules and norms during their work in full accordance with the requirements of the current legislation of Algeria, EH&s standards of the Company, internal regulatory documents of the enterprise and conduct periodic (but at least once a month) operational inspections of the state of labor safety at the workplaces of employees, what to make entries in the journal of operational control of the state of labor protection.
    • create the necessary conditions for the achievement by the subordinate unit of the goals and objectives defined by the direct supervisor on the issues of continuous improvement of the state of labor protection (including the requirements of B.A.T. Environmental, Health & Safety Policy), fire safety, safe operation of equipment, equipment and other means of production, occupational health and industrial sanitation, environmental protection, provision of pre-hospital care.
    • develop and timely review the necessary procedures, instructions for labor protection for subordinate workers on safe methods and methods of labor, safe operation of equipment and provide them, in the required number, subordinate workers.
    • ensure the procedure established by law for admission to the work of subordinate employees. To provide the necessary communication of information on labor safety issues for employees in the subordinate unit.
    • maintain the labor protection documentation established by the legislation of Algeria and EH&s standards of the Company and timely submit relevant reports to the Labor Protection Department of company.
    • monitor the timely passage of periodic medical examinations by subordinate employees.
    • assess the risks in the workplaces of subordinate employees and develop effective measures to reduce or eliminate them.
    • in case of industrial injuries, accidents, threats to life or health of people - to take urgent measures to assist victims and eliminate the causes and consequences of such situations, which, without fail, immediately inform their direct head and department of labor protection of company.
    • ensure the development of the necessary documentation for planning the continuation of business processes in case of any emergencies.

    1. Context/Environment

The jobholder reports to the Supply Chain Manager and is responsible for;

      1.  The job holder needs to operate within Oran factory; but will also operatore in external locations within logistics network such as Algiers WH, External WHs in Oran & Algiers, Dry Ports etc.
      2. The job holder needs to communicate with relevant stakeholders which is covered under the agreement with strictconfidentiality as per the standards
    1. Knowledge Skills & Experience

      1. Technical Skills:
        1. University degree in Engineering and at least 5 years’ experience on Supply Chain Planning or Logistics Management.
        2. Good knowledge of EHS standards, warehouse standards

2.2.1 Ability to understand & apply costing & budgetary principles

2.2.2 Develop business by gaining new contracts, analysing logistical problems  and producing new solutions

2.2.3 Use associated information systems to coordinate and control the order cycle, and manage the stock levels, delivery times and total cost

                           2.2.4       Key Success Factors:

The most important metrics by which successful performance will be judged are:

•           Provide timely feedback on performance indicators to enable effective corrective action, improve visibility

•           Provide systems & procedures to effectively manage quality, waste, absenteeism & discipline.

•           Logistics KPI Dashboard (Target vs. Actual)

•           Keep close relationships: Internally with the Planning Department in order to provide and receive feedback on FG stock Management. Externally: With customers being represented by sales branches

•           All Factory functions: Production, Planning, Factory Leadership team, etc

•           All Commercial Functions: Finance, HR, Trade, Brand etc

•           Logistics companies and Supplier for WH renovation / equipments firms.
