British American Tobaccohas an exciting opportunity for an IT Legal Coordinator in Subang Jaya, Selangor.
Your key responsibilities will include:
- Full contract administration support as required by BIC Legal including but not limited to execution of contracts, maintenance of contracts, including but not limited to tracking and filing hard copies of contracts, search and upload of contracts on the relevant contract management system/s, - and all other legal administrative activities relating to contract management and support
- Maintain relevant trackers as required from time to time (e.g. contracts due to expire or for renewal, intra-group agreements, Senior Counsels business travels, team building events)
- Foster and build collaborative relationships with Finance Business partners, GBS HR, and any other relevant collaborators to ensure timely resolution of system issues and vendor payments.
- Acting as a Records Coordinator for BIC Legal KL including leading records management activities to faciltate compliance with critical records schedules and all other records management requirements
- Co-ordinate meetings, conferences/seminars, activities, sourcing and booking venues both internally and externally, as well as arrange travel arrangements and claims for BIC Legal KL.
- Supporting BIC Legal KL ‘s financial activities including but not limited to the annual company planning process, generation of purchase orders and related documents, payments and all other budget tracking and administrative activities in meticulous and timely fashion
- To familiarise self with COUPA system on procure to pay tool and support in the management of queries – Timely creation of vendor, PO, GR Timeline: On-going
- Provide administrative services and support covering highly sensitive work and always ensuring utmost confidentiality
- Supporting and following all internal governance and compliance processes and activities
- Provide organisational and administrative support to BIC Legal KL demonstrating initiative and proactiveness
- Proactively engaging and working with Finance and other local and global stakeholders
- Ensure activities are planned and managed closely, where relevant, keeping BIC Legal team members updated
- Set a good personal example by demonstrating initiative and innovation where appropriate to support ‘working smarter’ and more efficiently
- Build and continuously improve working relationship and engagement skills with the BIC Legal team, administrative staff of other departments as well as other relevant BIC Legal stakeholders.
