BAT NEW ZEALAND IS LOOKING FOR AN EXECUTIVE ASSISTANT

SENIORITY LEVEL: Non-Management Level
FUNCTION: Executive & Corporate Services 
SALARY RANGE: $67k -$100k NZD base salary+ Bonus Scheme + Excellent benefits
TERRITORY: Auckland, New Zealand
REPORTS TO: General Manager
JOB TYPE: Fixed Term

ROLE POSITIONING AND OBJECTIVES

This role is responsible to provide a high level of executive administrative support to the General Manager, and NZ Executive Team members. Represent BAT (New Zealand) Limited (“BATNZ”) and the Executive Team in a professional and positive manner at all times to all internal and external stakeholders.

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Extensive diary management for the Executive Team including scheduling meetings at individual and group level, accepting/declining meeting requests and managing diary conflicts. Proactively utilising technology and solutions to efficiently drive the Executive Team.
  • Coordinate, manage and administer Executive Team meetings, including agenda preparation, minute taking, and proactively driving closure on open minute and action items. Be available to take minutes and assist with administration of Board Meetings as required.
  • Client liaison and relationship management with external clients, suppliers, consultants, and overseas stakeholders.
  • Support Head of Finance with BCM (Business Continuity Management) administrative tasks; including BCM SharePoint site administration - uploading documents, communicating with plan owners, tracking when plans, tests, meetings, and signoffs are required and complete, and ensuring deadlines are met.
  • Day to day management of low-level Security activities including ensuring Head Office (“HO”) alarm system and HO access cards are properly maintained, keeping an accurate record of employee access cards and communicating any changes to security provider/s.
  • Coordinate the provision of facilities management for HO, including but not limited to the initial point of contact for HO staff to escalate any facilities queries to and responding, in a timely manner, to ensure issues are resolved.
  • Liaise with other HO Admin support to ensure all office supplies, including cleaning products, stationery and food stuffs are in good supply. Be proactive in encouraging self and others to maintain a functioning and well-presented HO environment.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Demonstrated experience in EA/executive level roles to senior leaders in a large organisation requiring tact, judgment and discretion in handling internal and external stakeholders
  • Demonstrated ability to handle confidential, complex and sensitive matters with discretion and respect
  • Experience of diary management, and a navigating a complex Executive meeting cadence within a global organisation
  • Ideally, not less than 5 years’ experience in large multinational or FMCG organisation
  • Relevant Degree / Diploma or Certificate (e.g., Business Administration or similar) desirable
  • Good level of IT literacy and the ability to trouble-shoot technical problems
