Location: La Possession
The Administrative Assistant provides essential support to ensure the smooth functioning of the office or department. This role is responsible for handling a range of administrative and clerical tasks, maintaining efficiency, and supporting team members in their daily operations. The Administrative Assistant plays a key role in maintaining organizational flow and delivering professional service both internally and externally.
Your key responsibilities will include:
- Manage day-to-day administrative tasks such as scheduling, document preparation, filing, and correspondence.
- Coordinate meetings, appointments, and travel arrangements for staff and executives.
- Maintain organized records, databases, and filing systems (digital and paper-based).
- Handle incoming and outgoing communications (emails, calls, mail) with professionalism.
- Support the preparation of reports, presentations, and internal communications.
- Assist with office supply inventory and procurement.
- Act as the first point of contact for visitors and external stakeholders when needed.
- Provide ad hoc support to various departments and contribute to cross-functional projects.
- Process and manage 3rd parties/vendors Pos trough Success Factors
What are we looking for?
Key requirements:
- Proven experience in an administrative or office support role.
- Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) and digital tools.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and as part of a team.
- Fluency in French and an Intermediate level of English
Added Advantages:
- Experience in a fast-paced or multinational environment.
- Knowledge of basic accounting or document management tools
- Working experience within the FMCG industry
- SAP knowledge
