British American Tobacco UK has an exciting opportunity for a HR Coordinator UK&I in London Chiswick
The HR Coordinator will play a key role in supporting the UK & Ireland HR team by delivering reliable and efficient administrative services across core HR functions. This position focuses on coordinating HR activities, maintaining accurate documentation, managing employee data, and producing reports to support smooth execution of HR processes. The role also involves supporting the employee lifecycle, ensuring data integrity in HR systems, and assisting HR Business Partners and line managers in delivering services aligned with company policies.
Your key responsibilities will include:
- Talent & Learning & Development:
- Support coordinating nominations, learning catalogues, ad-hoc training logistics, and further education approvals.
- Prepare materials for talent reviews, organisational planning, and ensure HR data accuracy and timely reporting for HR cycles.
- Recruitment and Selection:
- Liaise with Global Business Services (GBS) recruitment agencies, and manage documentation for immigration, relocation, onboarding, and offboarding.
- Employee Listening and Inclusion:
- Coordinate employee survey results, assist with feedback actions, engagement activities, and internal communications.
- Support employee resource groups and inclusion initiatives.
- Data Management & Employee Administration:
- Maintain accurate employee records in HR systems (e.g., SuccessFactors), including changes to personal details, job titles, and compensation.
- Ensure timely escalation and resolution of HR service requests.
- Coordinate reference letters and offboarding activities including exit interviews.
- Support monthly payroll preparation by verifying data and resolving discrepancies.
- Respond to employee queries regarding HR policies and procedures, escalating complex issues to HR Business Partner or HR Executive as needed.
- Support the administration of employee benefits and leave management.
- Maintain compliance with data protection and confidentiality requirements.
- Provide administrative support for employee relations cases including support in preparation in documentation and meeting coordination.
- Assist in managing absence, parental leave, probation, and similar cases.
- Annual and Employee Life Cycle Activities
- Assist HR Business Partners in preparing annual salary and bonus reviews.
- Support quarterly manual bonus calculations for Field Force Bonus Incentive Scheme.
- Assist HR Business Partners in accurate reporting of head count and employee related costs to support budget control and employment cost tracking.
What are we looking for?
- 1-2 years of experience in an HR administrative or coordinator role.
- Data management and accuracy of information is a key component of the role.
- Experience in a fast-paced, vibrant environment is a plus.
- Solid attention to detail and organizational skills.
- Good communication and interpersonal skills.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Ability to handle sensitive information with discretion.
- Takes accountability and ownership for delivery
- Fluent English: excellent written and verbal communications
- BENEFICIAL
- Prior experience with the use of SAP and/or SuccessFactors, PowerBI.
- HR/ Business/ social sciences degrees would be advantageous
- CIPD qualified to level 3
