Role summary
What are the key objectives and expectations from this role?
Support the UK & Ireland HR team by coordinating HR activities and maintaining accurate documentation.
Key responsibilities
Talent & Learning & Development:
- Support in coordinating nominations and maintaining visibility of learning catalogues for line managers.
- Provide administrative support for further education arguments and approvals.
- Support in organising ad-hoc training sessions including logistics, materials, attendance tracking, and rescheduling.
- Support in preparing materials for quarterly talent review meetings, performance reviews and succession planning activities.
- Ensure data accuracy in HR systems and generate timely reports for HR cycles.
Recruitment and Selection:
- Liaise with Global Business Services (GBS) to support recruitment and selection processes.
- Coordinate with recruitment agencies and manage documentation related to immigration and relocation.
- Track recruitment progress and maintain records for internal and external candidates.
- Support onboarding and offboarding processes including documentation, system updates, and coordination with relevant departments.
Employee Listening and Inclusion:
- Support with the coordination of employee survey results and preparation of reports for leadership presentations.
- Assist in implementing actions based on employee feedback.
- Help coordinate activities with employee resource groups to promote an inclusive culture.
- Assist in organizing employee engagement activities and internal communications.
Data Management & Employee Administration:
- Maintain accurate employee records in HR systems (e.g., SuccessFactors), including changes to personal details, job titles, and compensation.
- Process employee data changes in SuccessFactors including salary amendments, contract updates, and leave requests.
- Support in preparing and maintaining accurate documentation and track open cases with GBS.
- Ensure timely resolution of blocking issues related to HR service requests.
- Coordinate reference letters and offboarding activities including exit interviews.
- Support monthly payroll preparation by verifying data and resolving discrepancies.
- Respond to employee queries regarding HR policies and procedures, advancing complex issues to HR Business Partner or HR Executive as needed.
- Support the administration of employee benefits and leave management.
- Generate HR reports and ensure data accuracy.
- Ensure compliance with data protection and confidentiality requirements.
Employee Relations:
- Provide administrative support for employee relations cases including support in preparation in documentation and meeting coordination.
- Support in preparation of letters, scripts, and minutes for formal meetings.
- Assist in managing absence, birthing parent leave, probation, and similar cases.
Annual and Employee Life Cycle Activities
- Assist HR Business Partners in preparing annual salary and bonus reviews.
- Support quarterly manual bonus calculations for Field Force Bonus Incentive Scheme.
- Assist HR Business Partners in accurate reporting of head count and employee related costs to support budget control and employment cost tracking.
Experience, skills, knowledge
Experience Required:
1-2 years of experience in an HR administrative or coordinator role.
Data management and accuracy of information is a key component of the role.
Experience in a fast-paced, dynamic environment is a plus.
Technical / Functional / Leadership Skills Required
Strong attention to detail and organizational skills.
Good communication and interpersonal skills.
Proficiency in Microsoft Office applications (Word, Excel, Outlook).
Ability to handle sensitive information with discretion.
Takes accountability and ownership for delivery
Fluent English: excellent written and verbal communications
Beneficial
Prior experience with the use of SAP and/or SuccessFactors, PowerBI.
HR/ Business/ social sciences degrees would be advantageous
CIPD qualified to level
