British American Tobacco Malaysia has an exciting opportunity for a Factory Administrator in Nusajaya Tech Park, Johor.
Your key responsibilities will include:
- Create Coupa Purchase Order and Goods Receipt on timely manner
- Invoices to be proceesed after GR has been done for all suppliers
- Monitoring factory budget by PO tracker for monthly expenses traceability
- Manage tax stamp order and payment to Custom
- Responsible for JKDM portal for excise request and payment
- Manage documentation for excise license renewal, monthly reporting to Custom and factory business license
- Ensure all purchasing are adhering to the Indirect Procurement Policy
- Coordinate with other BAT functions and vendors to ensure the timely delivery of materials and finished goods
- Ensure all records and documentation pertaining to Operations including logistics/ transport (both paper& electronic) are filed and maintained in accordance with the Records Management Policy at all times.
- Manage and arrange month-end closing process inclusive of cycle count reporting and generation of reports are done properly and accurately in accordance to company’s policies and procedures
- To manage inbound and outbound delivery of finished goods and coordinating with logistic transporter for transport arrangement
- To compile monthly reporting to Custom on incoming raw material such as tobacco and wrapping material and outgoing finished goods
- To manage K1 documents upon importations of incoming materials (tobacco & wrapping materials)
- Responsible in ordering material such as shipping case, case tape and shrink wrap
- Manage all reporting requirements of internal and external stakeholders are met within the agreed timeframes such as Customs & Tax Department
- Liaise with internal departments such as legal, procurement, and finance to ensure contracts are in line with the factory’s operational and financial requirements
- Manage CRA & iCertis for company's legal compliance
- Monitor the contract lifecycle, from initiation and execution through to renewal or termination
- Responsible in replenishing stock of stationery & ordering yearly entitlement of uniforms
- Maintain contract staff records and track movement in Operations
- Manage vendor registration by compiling supplier's information and master data processing
- Manage HRDF portal for internal trainings processes and claiming funds
What are we looking for?
- Minimum diploma in administration and warehouse management or related field
- At least 3-4 years of experience as admin & warehouse/logistic
- Well versed in SAP system, procurement system, warehouse inventory
- Excellent administrative and warehouse management skill
- Exhibit effective communication, interpersonal and negotiation skills for collaboration with internal and external parties
- To be proficient in Bahasa Melayu and English
- To be able to work and multitask in manufacturing environment
