Fleet Coordinator

The Fleet Coordinator supports the Fleet Manager in managing the BAT PNG vehicle fleet to ensure operational efficiency, regulatory compliance, asset security, timely maintenance, accurate reporting, and adherence to the Company Motor Vehicle Policy. The role coordinates daily fleet administration across regions, engages custodians and vendors, maintains compliance records, supports claims and incident follow-up, and helps drive safety, cost control, service reliability, and data discipline across country wide fleet.

Your key responsibilities will include:

• Coordinate fleet operations, including vehicle allocation, deployment, handovers, returns, and maintenance of accurate fleet records.
• Monitor vehicle compliance requirements, including registrations, insurance, roadworthy certifications, and adherence to company fleet policies.
• Coordinate vehicle servicing, repairs, vendor activities, and track vehicle downtime, costs, and maintenance schedules.
• Support fleet reporting, KPI tracking, incident management, insurance claims, and maintenance of fleet-related documentation and trackers.
• Engage with internal stakeholders and external service providers to ensure efficient, safe, and compliant fleet operations across all locations.

What are we looking for?

• Experience in fleet management, logistics, asset management, facilities administration, or a related coordination role.
• Strong administrative and organizational skills with a high level of accuracy and attention to detail.
• Proficiency in Microsoft Office, particularly Excel, with experience in reporting, data management, and tracking systems.
• Strong stakeholder management and communication skills, with the ability to coordinate across multiple functions and external vendors.
• Ability to manage competing priorities, follow up on issues proactively, and maintain compliance with policies and procedures.
