CONTEXT & PURPOSE STATEMENT:
The PMO Admin supports the S4 HANA transformation by providing crucial administrative and tracking support to the PMO Lead and wider program team. This role is critical in ensuring accurate management and monitoring of Statements of Work (SOWs), Change Control Notices (CCNs), Purchase Orders (POs), and Actuals, helping to maintain program governance and financial discipline throughout the project lifecycle.

ROLE SPECIFIC ACCOUNTABILITIES:
- Track and maintain records of SOWs, CCNs, POs, and Actual service confirmations, ensuring all documentation is auditable, up to date and accessible
- Support the PMO Lead in preparing regular status reports and dashboards on Achievement / Time and material led services delivered against SoW.
- Support PMO in handling penalties or incentives to partners based on performance against SoW, in close collaboration with Programme Finance and Procurement business partners
- Coordinate with procurement, finance, and delivery teams to ensure timely processing (creation, extension, closure) and tracking of POs and invoices.
- Maintain logs and trackers for all program-related contractual documents and changes.
- Assist in the preparation and collation of materials for governance meetings and audits.
- Ensure adherence to program standards, templates, and document management protocols.
- Support the continuous improvement of PMO processes in collaboration with the wider Pulse team by identifying and advancing issues or inefficiencies.
- Provide general administrative support to the PMO team as required (e.g., meeting scheduling, minute taking, document filing).
SKILLS, KNOWLEDGE, EXPERIENCE:
- Strong interpersonal and administrative skills, with attention to detail.
- Experience in supervising and handling program documentation (SOWs, CCNs, POs, Actuals).
- Good written and verbal communication skills.
- Proficiency in MS Office (Excel, Word, PowerPoint) and document management systems.
- Ability to work collaboratively with cross-functional teams.
- Strong time management and ability to meet deadlines.
- Proactive approach to problem-solving and process improvement.
- Experience in a PMO or project administration role (preferred).
