Purpose statement:
The role is responsible for delivering efficient reception and administrative support within the BAT SI Head Office, ensuring the workspace remains organised, clean, and operational. Key duties include managing meeting schedules, coordinating appointments, and supporting day‑to‑day office activities to maintain a smooth administrative environment. The position also oversees PO creation, collects supplier invoices, and collaborates with the Finance team to facilitate timely invoice settlement. Additionally, the role provides essential HR support across immigration processes, medical insurance administration, housing tenancy agreements, and coordination with HR vendors through COUPA and SAP systems.
Key Accountabilities:
- Provide comprehensive administrative and secretarial support, including managing the PABX system, appointments, meetings, travel arrangements, filing, correspondence, phone calls, visitors, and general office administration.
- Support procurement and financial administration by creating POs, ensuring goods receipting and supporting documentation are completed accurately and on time, while coordinating with internal stakeholders and suppliers.
- Coordinate travel, immigration, and visitor arrangements, including overseas visitors’ itineraries, visa and immigration processes, official travel requirements, and liaison with travel agents, hotels, and other relevant suppliers.
- Provide operational support for business meetings, events, and company activities, including key LEX, HR, and Energising & Winning culture initiatives, ensuring activities are well coordinated and delivered as planned.
- Coordinate employee-related administrative services, including medical insurance enrolments, renewals and claims, employee queries, housing and tenancy arrangements, while maintaining accurate records and ensuring confidentiality of sensitive information.
- Build and maintain effective relationships with internal and external stakeholders, uphold corporate and company standards, and demonstrate continuous personal development in line with company leadership initiatives.
Essential experience, Skills and Knowledge
- Minimum Certificate or Diploma in Administration, Management, Regulations, Secretarial Studies, or a related discipline.
- Relevant experience in administration, management, regulations, personal assistant, or secretarial roles is preferred, with 2 years of experience being an added advantage.
- Strong time management, organisational, and prioritisation skills with the ability to manage multiple tasks effectively.
- Proficient in Microsoft Word and PowerPoint, with a good working knowledge of Excel.
- Familiarity with systems such as SAP and Coupa would be an added advantage.
